BACKGROUND

A Chicago based office technology company, founded by local Chicago people over a quarter of a century ago, has been committed to excellence in both leadership and customer service. The company has grown by acquiring competitors and is now providing the most comprehensive range of digital document imaging solutions from the world's most notable manufacturers.

With four suburban and one downtown location, the company was looking for a more efficient voice and data network for its 200+ employees. Each location was essentially a stand alone office with a PBX and local telephone lines. T1 circuits linked together the PBX's providing site to site calling and call transfers. But there were challenges with this set-up, requiring each site to maintain a receptionist on staff. A separate data network of T1 circuits linked sites to centralized data servers at headquarters.

BUSINESS CHALLENGE

Recent acquisitions reduced the available capital budget for system improvements while exposing need for more efficient integration of new locations into the existing networks. Outdated equipment caused sporadic outages that taxed the thinly staffed IT department. The PBX, phone, and equipment were fully depreciated and the data network was comprised of unmanaged switches, and modems with outdated routers. Yearly third party maintenance costs were minimal. There need, but no apparent financial justification to replace the telephone and data equipment.

Total voice (PRI) and data (T1) circuits along with local and long distance usage exceeded $18,000 per month. The IT staff knew these circuits, while vital, were not being used to capacity and they wanted more efficient bandwidth utilization. In early 2004, they began investigating the new trend called convergence thinking they could reduce the total number of circuits by using them for both voice and data. This required new routers and a new way of viewing the way they communicate.
